The Opportunity


As Senior Executive Assistant, you will serve as strategic partner to the President and their leadership team — trusted not just to manage an executive's schedule, but to extend their judgment and priorities across the business. You will own executive administration and high-discretion projects end-to-end, moving fluidly from coordinating a critical customer meeting to shaping stakeholder communication to driving a cross-functional initiative to the finish line. This is a role for someone who wants more than a traditional EA position offers — real latitude to make decisions, direct access to senior leadership, and the opportunity to run initiatives rather than simply support them.

What You’ll Contribute


  • Provide primary administrative support to the President, with overflow assistance to other executives as needed, working independently across a wide range of activities.
  • Own initiatives end-to-end for the President of Software — building project plans, tracking milestones, and driving accountability across stakeholders who don't report to you, from kickoff through completion.
  • Anticipate needs before they're voiced, running ahead of the executive's calendar and priorities rather than reacting to them, and making independent decisions within a defined scope, escalating only what truly requires their input.
  • Serve as a trusted gatekeeper for the President's time and information, communicating on their behalf with internal and external stakeholders and exercising sound judgment on tone, content, and timing — including sensitive correspondence — while handling all confidential business information with absolute discretion.
  • Manage complex, high-volume calendars across time zones, protecting focus time and prioritizing strategic importance rather than "first ask, first served".
  • Coordinate recurring leadership cadences — staff meeting agendas, all-hands prep, offsite planning, quarterly business reviews — and prepare polished executive-level presentations and briefing materials for leadership and client audiences.
  • Maintain a single source of truth for the executive's active commitments, open items, and follow-ups, and track budgets and spend for executive-sponsored initiatives, producing regular status reports for leadership.
  • Coordinate domestic and international travel — including commercial and private air — managing real-time adjustments to complex global itineraries.
  • Process travel and expense reports accurately and on time, ensuring compliance with company policy, and support periodic personal coordination needs.
  • Provide backup office-support coverage for the Menlo Park, California office when the Office Administrator is out

What We’re Seeking


  • Proven experience supporting senior executives (EVP and above), including managing projects that extend well beyond administrative support, in a global, fast-paced environment.
  • Strong relationship-building and interpersonal skills, with the polish to engage credibly with C-suite executives, board members, clients, and vendors.
  • A track record of owning a budget, project, or initiative through to a measurable outcome — not simply having "assisted with" one.
  • Demonstrated ability to navigate ambiguity and competing, time-sensitive priorities independently, anticipating needs rather than waiting to be asked.
  • Excellent verbal and written communication, with the ability to draft confidently in the executive's voice rather than simply formatting what's handed to you.
  • Skill in gathering and synthesizing information from multiple sources into clear, executive-ready presentations.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel); additional proficiency with Apple applications and project management tools is highly preferred.
  • A bachelor's degree — ideally in business, communications, or a related field — or equivalent experience supporting senior executives.
