Job Summary
Oversees visitor interactions, phone communications, office organization, and administrative tasks, ensuring a safe, welcoming, clean, and efficient environment.
Essential Functions
Answer and direct incoming phone calls to the appropriate individuals or departments. Provide accurate information to walk-in, phone, and email inquiries about the company's products, services, and operations.
Control access to the building; Greet and receive visitors, determine the nature of business, and direct visitors to the appropriate person or destination.
Collect, sort, and distribute incoming mail.
Provide administrative support, such as data entry, filing, reserving meeting space, and preparing documents as required.
Manage office supplies inventory and place orders when needed, ensuring smooth office operations.
Education & Experience An equivalent combination of education and experience will be considered.
High school diploma or GED preferred.
One (1) year of receptionist, customer service, administrative support, or related experience preferred.
Experience answering multi-line phone systems, greeting visitors, and providing administrative support preferred.
Proficiency with Microsoft Office applications (Outlook, Word, and Excel) and standard office equipment preferred.
Experience working in a nonprofit, human services, workforce development, or community-based environment is a plus.

Must have a positive, friendly demeanor for interacting with visitors and guests.
Clear verbal communication skills and ability to give and follow written and oral instructions.
Knowledge of Microsoft Office programs (Word, Excel, Outlook), basic office equipment/machines and corporate phone systems.
Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
Ability to work independently and make responsible decisions.
Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
