Project Coordinator

Community | Production | Marketing

Full-Time • NYC (Hybrid) • Greenpoint, Brooklyn

About Tape

Tape is building the media infrastructure for how IRL culture is discovered, shared, and amplified.

The founding team includes experienced media, technology, and entertainment executives.

We're looking for a Coordinator to help support across the business.

The Role

Tape is looking for a Coordinator to keep things running across our events, projects, and member community.

This is a generalist role for someone who is extremely organized and genuinely likes being out in the world. On any given day you might be scheduling member texts in the morning, updating a guest list at lunch, ordering materials for an activation in the afternoon, and checking people in at the door that night. You'll be at all of our events. You'll be the friendly, on-top-of-it presence who greets members, manages check-in, and makes sure things run smoothly on site.

Tape operates like an agency. We run our own programming alongside client projects, and you'll support multiple teams and work streams at once. The right person moves easily between the laptop and the room and between detail work and people work, and can switch between priorities without losing track of anything.

It's a great fit for someone early in their career who wants hands-on experience across events, production, marketing, and community at the intersection of tech, media, and culture.

What You'll Do

Member Communications

  • Manage our text messaging channel. Answer member questions, schedule and send outbound messages, and be the voice of the channel.
  • Keep our CRM organized and accurate. Review and tag new members, and build segmented lists so the right members get the right invites.
  • Support community management across Tape's social channels as needed.
  • Attend Tape and client events across NYC. Manage check-in and greet guests, and be a warm, visible point of contact for members and partners.
  • Build and manage guest lists and RSVPs, and coordinate with the events, partnerships, and client teams on capacity, access, and changes.

Project & Production Support

  • Support project teams across internal and client work. Track timelines, deliverables, and next steps, and keep trackers, shared docs, and files up to date.
  • Support pre-production and on-site execution for events and activations: run-of-show prep, vendor coordination, and load-in/load-out.
  • Source, order, and track materials, supplies, and rentals, and make sure everything arrives on time and on budget.
  • Help with scheduling, meeting notes, recaps, and general coordination so projects stay on track.
  • Jump in wherever the team needs support. We're a small team, and flexibility matters.

What We're Looking For

  • 1–3 years of experience in events, production, project coordination, community management, or a similar role, ideally at an agency, brand, venue, or startup.
  • Exceptionally organized and detail-oriented, with strong follow-through across many moving parts.
  • Comfortable juggling multiple projects and stakeholders and reprioritizing quickly.
  • Personable and confident on site. You enjoy meeting people, you stay calm at a busy door, and you represent the brand well.
  • Strong written communication with an instinct for tone. You can sound like a brand and a real person at the same time.
  • Comfortable in spreadsheets, trackers, and shared docs. Experience with CRM, messaging, or project management tools is a plus.
  • Familiarity with Canva or similar design tools is a plus.
  • Passion for culture, experiences, and discovering what's next, plus an existing connection to NYC creative, media, arts, hospitality, music, fashion, or nightlife communities.

Success in This Role

Success looks like events that run smoothly from guest list to check-in, projects that stay organized and on schedule, materials and logistics handled before anyone has to ask, and member communications that are timely, accurate, and on-brand.

This role touches nearly every part of the business. It has clear room to grow into producing, project management, or community management as Tape scales.

Contract

Full-time independent contractor working on a hybrid schedule from our Brooklyn HQ.

Compensation is $3,000-3,500 per month ($36,000-42,000 annualized), depending on experience and qualifications.

Candidates should be comfortable attending events throughout New York City, including occasional evenings and weekends.
