Position Overview
We are seeking a warm, organized, and reliable Office Support staff member to serve as the front-desk and administrative anchor for our AWA Broward afterschool program at Deerfield Beach Elementary School.
Working under the direction of the Program Manager, you will manage the program office during afternoon hours (2:00 PM – 6:00 PM). In this role, you will greet families, keep enrollment and attendance records accurate, run a safe and organized sign-out process, and act as the first point of contact for parent questions and concerns. Because you interact with families every day, this role calls for a calm, professional communicator who can resolve conflicts respectfully and keep dismissal running smoothly.
Key Responsibilities:
- Front-Office & Family Communication: Serve as the welcoming first point of contact for parents and caregivers in person, by phone, and by email. Answer questions about schedules and policies, and communicate attendance issues or pick-up changes promptly. Bilingual skills in Spanish or Haitian Creole are a plus.
- Office & On-Site Responsibilities: Manage daily office operations while maintaining an active presence across campus and dismissal zones. Coordinate student call-outs safely via two-way radio and wear your visible FLIPANY vendor badge at all times.
- Student Safety & Dismissal: Manage the daily sign-out process by verifying photo IDs and ensuring students are released only to authorized adults listed on file. Coordinate with program staff via two-way radio to call students safely to dismissal.
- Attendance & Tracking: Maintain accurate daily attendance, sign-in/sign-out logs, and student records in compliance with Children's Services Council (CSC) MOST grant guidelines and Broward County Public Schools (BASCC/BCPS) standards.
- Customer Service & Conflict Resolution: Listen to family concerns with patience and empathy, de-escalate disagreements professionally, and uphold program policies with a calm demeanor.
Qualifications & Requirements
- Availability: Fixed schedule from Monday to Friday, 2:00 PM – 6:00 PM throughout the school year.
- Education & Experience: High school diploma or GED required (minimum age of 18). Prior experience in an office, front-desk, customer service, or administrative role—preferably within a school, childcare, or youth-serving setting.
- Technical Skills: Basic to intermediate computer skills, including email, Microsoft Word and Excel, and online database systems.
- Screenings & Clearances: Ability to pass a Level 2 background screening (fingerprinting) and obtain required School Board of Broward County (SBBC) clearance and vendor badges.
- Certifications: Current in-person CPR/First Aid/AED certification and willingness to complete mandatory annual trainings (such as DCF Child Abuse & Neglect reporting and SBBC Anti-Bullying training).
Physical Requirements & Work Environment
Work is performed primarily indoors in the program office and dismissal area, with occasional outdoor exposure. Candidates must be able to lift up to 25 lbs., sit and stand for extended periods, walk the school campus, and operate standard office equipment, including a computer, phone, copier, and two-way radio.
