Position Overview

We are seeking a Mailroom Manager to lead production mailing and distribution activities within a commercial printing facility. This role oversees employees, equipment, scheduling, and quality to ensure printed materials are prepared correctly and ready for mailing or delivery on time.

The ideal candidate has experience with production mailing, inserting, or publication distribution and can keep a department organized while managing changing priorities.

Key Responsibilities

• Coordinate daily mailroom schedules, staffing, and job assignments.

• Supervise and train employees involved in inserting, addressing, sorting, bundling, and preparing printed materials for distribution.

• Review job instructions, quantities, mailing information, and delivery requirements before production.

• Monitor equipment operation and assist with setup adjustments and production troubleshooting.

• Verify product counts, insert combinations, labeling, and mailing accuracy.

• Coordinate applicable postal documentation and mail preparation requirements.

• Communicate with production, customer service, shipping, and postal contacts to meet deadlines.

• Track output, waste, downtime, and department performance.

• Coordinate equipment maintenance and maintain safe, organized work areas.

Qualifications

• Experience in a production mailroom, commercial printing operation, direct mail facility, or newspaper distribution environment.

• Previous supervisory or team leadership experience.

• Familiarity with inserting, addressing, sorting, or bundling equipment.

• Understanding of mailing workflows and applicable USPS preparation requirements.

• Strong organizational skills and attention to quantities, job details, and deadlines.

• Ability to train employees and resolve production problems.

• Computer skills for production records and mailing documentation.
