About the role:

Preface is looking for an organised and hands-on Events Coordinator / Events Assistant Manager or Manager to support the plannings, logistics and on-site execution of events. This role is ideal for someone who enjoys coordinating people and suppliers, managing details, solving problems and making sure events run smoothly from set-up to pack-down.


What you’ll be doing:

  • Support event planning, timeslines, checklists, run sheets, schedules and action plans
  • Coordinate venues, layouts, equipment, transport, deliveries, storange, registration, signage, catering, security and other relevant requirements
  • Communicate with suppliers, contractors, venues, production teams, caterers, entertainers, technicians and event partners
  • Assist with quotations, purchase requests, invoice follow-up and events cost tracking
  • Support on-site set-up, guest registration, event operations, programme timing, troubleshooting and pack-down
  • Maintain events briefs, contact lists, floor plans, inventory lists and operational documents
  • Keep internal teams and external partners updated on deadlines, changes, risks and outstanding actions
  • Prepare practical contingency plans for delays, weather, equipment issues, supplier changes and other on-day challenges
  • Support post-events debriefs, supplier follow-up, inventory returns and reporting


What we're looking for:

  • 4+ years of experience in event support, project coordination, operations, hospitality, production, marketing, administration or similar roles
  • Strong project management and time management skills with the ability to multitask and meet deadlines in a fast-paced environment
  • Excellent and confident communication and interpersonal skills; fluency in English and Cantonese is a plus
  • A practical, calm and solutions-oriented approach to unexpected challenges; Creative problem-solver with a keen eye for detail and attendee experience
  • Adaptable, comfortable with ambiguity and willing to learn
  • Ability to work flexibly, including occasional evenings/weekends for events
  • Experience in event production, venue operations, hospitality, marketing PR, communications, brand activations is a plus. Agency experience is a plus, not a requirement. Experience from operations, customer service, administration, retail, hospitality, student organisations or community events is also valued
