Documentation Specialist
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Documentation Specialist based in the United States.
This fully remote role supports medical review operations by coordinating documentation related to positive drug-testing results.
You will communicate with healthcare professionals, pharmacies, physicians, and other authorized sources to obtain and verify relevant information.
The position plays an important role in helping medical review teams reach accurate and timely determinations.
You will manage documentation queues, investigate discrepancies, and ensure records are complete and properly entered into internal systems.
Success in this role requires strong attention to detail, confidentiality, organization, and professional communication.
You will work independently after training while collaborating closely with internal teams and escalating issues when needed.

Accountabilities

Monitor assigned queues and follow up on requests for documentation needed to determine final drug-test result types.

Contact physicians, dentists, pharmacists, emergency departments, and other healthcare professionals to verify prescriptions, medications, recent treatments, or authorized medical records.

Track outstanding requests, answer calls, return messages, and follow up consistently until required information and documentation are obtained.

Enter documentation accurately and promptly into the medical review system and update queues to reflect completed work.

Review submitted medication and medical information against requests and identify discrepancies, unusual findings, or missing information for escalation.

Develop an understanding of whether medications or medical information may provide a medically appropriate explanation for a positive test result.

Release verified negative results and refer unresolved positive results to the appropriate medical review professional.

Maintain working knowledge of medical procedures, drug-testing processes, and relevant drug classes.

Maintain strict confidentiality when handling sensitive medical information and consistently provide professional, courteous, and responsive service.

Identify and escalate issues promptly while maintaining accurate documentation and supporting efficient resolution.

Perform additional related responsibilities and projects as assigned.

High school diploma or GED required; an associate degree is preferred.

Approximately one year of related experience in medical review, healthcare, pharmacy, or a comparable environment is preferred.

Intermediate proficiency with Microsoft Office applications.

Excellent writing, editing, proofreading, and documentation skills with strong attention to detail.

Strong verbal and written communication skills, including a professional telephone presence and clear, effective email communication.

Ability to identify concerns quickly and escalate issues appropriately.

Strong organizational and time-management skills, with the ability to manage multiple priorities and maintain accurate records.

Resourceful, dependable, and self-motivated, with the ability to work independently after completing training.
