About the Role
We are hiring an experienced Medical Receptionist / Medical Front Desk professional to support a U.S.-based pain management practice.
The ideal candidate has at least 3 years of hands-on medical front-desk experience and at least 3 years of experience working in U.S. healthcare. The role also requires hands-on experience using AdvancedMD in a medical practice.
The right candidate should be comfortable independently managing patient scheduling, registration, insurance verification, medication prior authorizations, pharmacy communication, patient intake, and other day-to-day medical front-desk responsibilities.
This is a medical front-desk position. Candidates must have substantial U.S. healthcare and medical receptionist experience.
Required Qualifications
- 3+ years of experience working as a Medical Receptionist, Medical Front Desk Receptionist, or similar medical front-desk professional
- 3+ years of experience working in U.S. healthcare
- Hands-on AdvancedMD experience – required
- Previous experience working directly in a U.S. medical practice
- Fluent/professional English and Spanish
- Experience scheduling, rescheduling, and confirming patient appointments
- Experience with patient registration and new patient intake
- Experience verifying insurance eligibility and benefits
- Experience handling medication prior authorizations
- Experience communicating with pharmacies regarding prescriptions and medication-related follow-ups
- Experience managing incoming and outgoing medical faxes
- Experience maintaining accurate patient records, demographics, and documentation
- Strong understanding of U.S. medical office workflows
- Ability to work independently and manage multiple front-desk responsibilities
Key Responsibilities
Medical Front Desk & Patient Scheduling
- Answer inbound patient calls and assist with medical office-related inquiries
- Schedule, reschedule, and confirm patient appointments
- Register new patients and collect required demographic and medical information
- Maintain accurate patient information and appointment records
- Support daily front-desk and administrative operations
- Coordinate patient communication in both English and Spanish
Insurance & Patient Intake
- Verify patient insurance eligibility and benefits
- Collect and document patient and insurance information
- Assist patients with insurance-related questions
- Complete and maintain accurate new patient intake information
- Ensure patient information is accurately entered and maintained in AdvancedMD
Medication Prior Authorizations & Pharmacy Communication
- Process and follow up on medication prior authorizations
- Communicate with pharmacies regarding prescription and medication-related inquiries
- Follow up on authorization and pharmacy requests
- Document medication-related communications accurately
Medical Office Administration
- Manage incoming and outgoing medical faxes
- Maintain accurate patient documentation and records
- Respond to patient questions professionally and appropriately
- Communicate with patients, pharmacies, and medical-office staff
- Follow established U.S. healthcare and medical-office procedures

Ideal Candidate Profile
We are looking for someone who has spent at least 3 years working in a medical front-desk role and at least 3 years working within the U.S. healthcare system.
The ideal candidate has direct experience in a U.S. medical practice and can independently handle patient scheduling, registration, insurance verification, new patient intake, prior authorizations, pharmacy communication, and medical-office administration.
They should already be comfortable using AdvancedMD and communicating professionally with both English- and Spanish-speaking patients.
