Responsibilities
NYIT's deSeversky Mansion seeks an Assistant Sales & Events Manager to support the sales department at our catering facility at the Long Island (Old Westbury) campus. Reporting to the Sales and Operations Manager, this person will be responsible for the following:
- Works directly with Sales and Operations Manager.
- Responsible for generating new revenue, overseeing events, and managing Dining Room Manager (DRM).
- Reach Revenue goals set forth by Director of Dining Services under direction of Sales and Operations Manager.
- Create revenue reports and provide analysis regularly to Sales and Operations Manager.
- Ensure that all events held are paid up to date prior to the start of the event, following the contracted payment schedule policies of the mansion.
- Coordinate with clients, including but not limited to, New York Tech events, weddings, social, corporate, and others, for their upcoming events as directed by the Sales Manager.
- Revenue generating through coordinating with clients and enhancing their events through add-ons.
- Create Floor plans and have completed timely following standard operating procedures.
- Schedule, and Attend client Drop offs of items for event day.
- Greet clients/hosts on event day
- Manage all vendor relationships and create new relations where opportunities arise.
- Create and implement sales strategies to optimize business growth.
- Propose strategies and ideas to improve provided services and event quality.
- Receive and expedite client inquiries including all noted above.
- Work closely with NY Tech departments such as Marketing and Communications to promote events at de Seversky.
- Proactively handle any arising issues during events and use problem solving skills to deescalate any difficulties.
- Communicate with the service, housekeeping or culinary team if set-ups, cleanliness of the mansion or food requirements are not meeting the expectations of the client and work these issues out through the DRM.
- Maintain relationships with past clients for future business by utilizing the Caterese database program.
- Tour Prospective clients through the property and discuss client event needs. Convert these prospects to booked clients.
- Generate, propose, and review contracts and sample menus with potential clients. Ensure that contracts meet designated profit margins and support revenue goals.
- Prior to sending them to clients, proposal and profit margins must be reviewed and signed off by Sales Manager.
- Manage and attend weekly Banquet Event Order, BEO, meetings with the sales team, culinary, and operations team to ensure proper set-up, logistics and execution of events.
- Communicate any updates or changes requested by clients immediately through your sales team to the departments that are affected including Guest Counts, cocktails, liquor packages, etc.
- Effectively manage Dining Room and Operations Manager (DRM) daily under direction of Sales Manager.
- Create weekly schedules for said team of DRM and Housekeeper.
- Review the dining room and operations managers’ proposed schedules for the NYIT team and the contract service team.
- Support and train DRM following up on their tasks.
- Other tasks as assigned.
Qualifications
Associate’s degree required.
4 years’ experience within a catering environment as a Sales Coordinators or Event Specialist
Advanced computer skills including word processing, spreadsheets, desktop publishing and brand property Management Systems.
Excellent communication and listening skills.
Knowledge of Caterease Program, CVENT and Canva helpful.
Required to work weekends, nights and/or holidays for sales tours generating revenue
and assisting with events overseeing operation.
