Our client is a fast-growing, high-volume investment property lending firm specializing in business-purpose real estate loans. Having generated ~$45M in year-to-date loan volume, backend operations are currently capped at 15 deals per month due to manual processes. Leadership has intentionally paused outward marketing to build a scalable operational foundation that can handle 50 deals per month ($100M+ volume) without adding redundant headcount.
💼 About the Role
Forget the traditional Executive Assistant or "AI prompter" mental model. You will act as a systems architect and operational implementer—mapping our full customer journey (lead → sales → setup → processing → closing → funding), pinpointing where data leaks out, and building the tools, automations, and grounded AI agents that close those gaps.
🎯 Key Responsibilities
🔍 Days 1–30 Focus (Funnel Visibility): Map the current workflow across sales, processing, and closing; audit CRM/LOS platforms and ad attribution to fix data breakdowns so marketing can safely restart.
⚙️ Scalable Operations & Product Building: Redesign infrastructure to support a 3x deal growth (15 to 50 deals/month); prototype internal tools/interfaces using low-code/no-code, APIs, webhooks, and AI-assisted environments (Lovable, Open Code).
🧠 Company Knowledge Base & "Company Brain": Build a centralized, searchable database of lender guidelines, rate sheets, overlays, and checklists for human staff and AI agents.
🔄 Departmental Optimization & Handoffs: Clean CRM data (Close), automate lead scoring, build sizing/pricing tools, standardize qualification gates between sales/setup/processing, and develop internal condition-clearing copilots.
📊 Lender Matching & Deal-Health Intelligence: Architect dynamic lender-matching logic (top 3–5 lenders per transaction) and real-time deal-health dashboards to predict closing probability.
🤖 Pragmatic AI Agent Deployment: Incrementally build and deploy grounded AI agents (intake, guideline research, pricing copilots, condition clearing) with strict human-in-the-loop approvals.
✅ Qualifications & Skills
⭐ Core Requirements:
RevOps & Systems Mastery: Proven background in RevOps, CRM architecture (Close, HubSpot, GoHighLevel), and lifecycle workflow design.
Technical & AI Capability: Experience connecting systems via APIs, webhooks, and automation engines (Make, n8n); proficient in shipping working tools using AI-assisted development environments (Lovable, Claude, Open Code).
Pragmatic Architecture Mindset: Clear framework for "simple automation vs. full AI agent"—prioritizing data quality, security, and cost-efficiency over model hype.
Product & Operator Mindset: Ability to take vague founder problems, scope an MVP, build it, ship it, and drive internal adoption independently.
Communication & Hours: Native-level English fluency with full availability during US Pacific Time (PST) hours.
